Privacy policy

This policy explains what personal data Team Memory handles, why, for how long, and your choices.

1. Who we are

Team Memory is provided by [COMPANY LEGAL NAME], [ADDRESS], [COUNTRY] ("we"). Contact: [PRIVACY EMAIL].

For the content of chats a customer connects, the customer organization is the controller and we process it on its behalf (as a processor). For account, billing and website data, we are the controller.

2. What we collect

Account data: email address, name, team membership and role.

Workspace content: messages from the chats an admin connected, groups and private chats they picked (sender display name, sender id in that app, text, time), and what the service derives from them: decisions, ideas, promises, questions, topics, reminders and their status.

Connection data: chat and workspace identifiers for Telegram, Slack, Discord and WhatsApp, access tokens for installed integrations, and for a linked WhatsApp or Telegram account its login (stored encrypted) and the names of its chats, so an admin can pick which ones to connect.

Device data: push notification tokens if you turn on notifications in the phone app.

Billing data: handled by Stripe. We store the customer and subscription ids, never card numbers.

Technical data: logs needed to run and secure the service, and an audit log of changes and AI-assistant requests within each team.

Chat message text is stored encrypted with a separate key for each team, and a team can choose to keep only the notes found in its messages.

3. How we use it

To provide the service: reading connected chats, extracting decisions, ideas, promises and questions with AI, sending reminders and digests, and answering questions (performance of a contract).

To keep the service secure and working, prevent abuse and fix problems (legitimate interests).

To send service emails such as sign-in links, reminders and digests. We do not send marketing email without consent.

We do not sell personal data, and we do not use workspace content to train AI models.

4. AI processing

Workspace content is sent to Anthropic’s Claude API to extract information and answer questions. Under Anthropic’s commercial terms, these inputs and outputs are not used to train its models.

The AI can make mistakes. Every item links to its source messages so people can check it, and anyone can mark an item as wrong.

5. Retention

Raw chat messages are deleted automatically after the retention period the team’s owner chooses (7–365 days, 90 by default).

Derived items, topics and reminders are kept until the team deletes them or deletes its workspace.

Owners can delete all of their team’s data at any time in Settings → Privacy; it is removed immediately from the live database and from backups within [BACKUP PERIOD, e.g. 7] days.

Account data is kept while you have an account. Billing records are kept as long as tax law requires.

6. Who we share it with

Only with service providers that help run Team Memory, listed on the Subprocessors page, under contracts that require them to protect it, and when the law requires it.

7. International transfers

Some providers process data outside your country, including in the United States. Where required, transfers rely on safeguards such as the EU Standard Contractual Clauses.

8. Security

Data is encrypted in transit and at rest. Each team’s data is isolated by database-level access rules, integration tokens are never readable from the dashboard, and access to production systems is limited and protected by two-factor authentication.

9. Your rights

Depending on where you live, you can ask to access, correct, delete or export your personal data, or object to or restrict its use. Email [PRIVACY EMAIL]. If your data is in a team’s workspace, we may refer your request to that team’s owner, who controls that content.

You can also complain to your local data protection authority.

10. People in connected chats

If you are in a chat that a team connected, Team Memory announces itself there (a notice in a group, a hello in a private chat). You can reply /hide to any message to keep it out, ask the team’s admin to pause note-taking, or contact us.

11. Children

Team Memory is a work tool and is not meant for anyone under 16.

12. Changes

We will post changes here and, for important ones, email account owners before they take effect.
